TERMS AND CONDITIONS FOR USE

University Management Information System (UMIS) and College Systems

1. Purpose

These Terms and Conditions govern the use of the LBU University Management Information System (UMIS) and all related college systems (collectively referred to as “the System”). The System is provided to support academic, administrative, and operational functions of LBU.

2. Scope of Application

These Terms apply to all authorized users, including but not limited to:

  • Administrative and office staff
  • Faculty and instructors
  • Campus staff and support personnel
  • Authorized students (where applicable)
  • Contractors or consultants granted access

Use of the System constitutes acceptance of these Terms.

3. User Authorization and Access

  1. Access to the System is granted only to authorized users with valid credentials.
  2. User accounts are personal and non-transferable.
  3. Users are responsible for maintaining the confidentiality of their login credentials.
  4. Any suspected unauthorized access must be reported immediately to the IT or UMIS Office.

4. Acceptable Use

Users shall:

  • Use the System solely for official LBU academic and administrative purposes.
  • Ensure accuracy and integrity of data entered or modified.
  • Comply with all institutional policies, applicable laws, and regulations.
  • Follow instructions issued by the UMIS/IT Office regarding system use.

5. Prohibited Activities

Users must not:

  • Access, modify, or delete data without authorization.
  • Share passwords or allow others to use their accounts.
  • Attempt to bypass security controls or monitoring mechanisms.
  • Upload malicious software, viruses, or unauthorized applications.
  • Use the System for personal, commercial, political, or unlawful purposes.
  • Misuse, falsify, or manipulate institutional records.

6. Data Protection and Confidentiality

  1. Users must protect confidential, sensitive, and personal data accessed through the System.
  2. Information obtained through the System shall not be disclosed to unauthorized persons.
  3. Users must comply with applicable data protection and privacy laws and institutional data policies.

7. System Monitoring and Audits

  1. LBU reserves the right to monitor, log, and audit System usage.
  2. Monitoring is conducted to ensure security, performance, and policy compliance.
  3. Users have no expectation of privacy when using the System for institutional purposes.

8. Intellectual Property

  1. All software, data, reports, and materials within the System are the property of LBU, unless otherwise stated.
  2. Users may not copy, distribute, or reproduce System content without proper authorization.

9. System Availability

  1. LBU strives to maintain System availability but does not guarantee uninterrupted access.
  2. Scheduled maintenance or unexpected technical issues may cause temporary downtime.
  3. LBU is not liable for data loss resulting from system failures beyond reasonable control.

10. User Responsibilities

Users are responsible for:

  • Logging out after each session.
  • Reporting system errors, security issues, or misuse.
  • Ensuring compliance with these Terms at all times.

11. Violations and Disciplinary Action

  1. Any violation of these Terms may result in:
    • Suspension or termination of System access
    • Disciplinary action under LBU policies
    • Legal action where applicable
  2. Violations will be investigated by the appropriate authority.

12. Limitation of Liability

LBU shall not be liable for:

  • User errors or negligence
  • Unauthorized use due to compromised credentials
  • Indirect or consequential damages arising from System use

13. Amendments

LBU reserves the right to update or modify these Terms at any time. Continued use of the System constitutes acceptance of the revised Terms.

14. Governing Law

These Terms shall be governed and interpreted in accordance with the laws and regulations applicable to LBU.

15. Acceptance

By accessing or using the LBU UMIS and College Systems, users acknowledge that they have read, understood, and agreed to these Terms and Conditions.
